Privacy Policy

Jana International School ("we", "us", "our", or "the School") operates the mobile applications Jana International School (for students and parents) and Jana International School – Teacher (for staff and teachers) (collectively, the "Apps"). This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use the Apps.

By installing or using the Apps you agree to the practices described in this Policy. If you do not agree, please do not use the Apps.

1. Who This Policy Applies To

The Apps are provided exclusively to enrolled students, their parents/guardians, and authorized staff of Jana International School. Accounts are issued by the School; the Apps are not open to general public registration.

Where a user is a minor (under 18), the account is created and controlled by the School in cooperation with the parent or legal guardian, and the parent/guardian consents to this Policy on the minor's behalf.

2. Information We Collect

a) Information you or the School provide

• Identification: name, role (student / parent / teacher / staff), class or section, employee ID, admission/roll number.
• Contact information: email address, phone number.
• Account credentials: username and password (passwords are stored in hashed form on our servers).
• Profile data: profile photograph (optional), date of birth, gender, address.
• Academic data (students/parents): attendance, timetable, homework, assignments, exam results, fees, announcements, leave applications.
• Administrative data (staff): assigned classes, timetable, leaves, payroll-related identifiers issued by the School.
• Communications: messages, queries, and feedback you submit through the Apps.

b) Information collected automatically

• Device information: device model, operating system version, unique device identifiers, app version.
• Log data: crash reports, error logs, basic usage events (e.g., screens opened) for diagnostics.
• Push-notification token: a Firebase Cloud Messaging (FCM) token used solely to deliver notifications to your device.

c) Information you can choose to upload

• Photos or files attached to assignments, leave requests, or messages, taken from your camera or gallery.

We do not collect advertising identifiers. The Apps do not show third-party advertising.

3. Permissions We Request and Why

Permissions are requested at the point of use and can be revoked at any time from the device settings.

4. How We Use Information

1. Authenticate users and provide access to school records.
2. Deliver core academic features: attendance, timetable, homework, exams, fees, transport, library, study materials.
3. Send push notifications about school activities, results, fees, and announcements.
4. Allow communication between teachers, students, and parents.
5. Maintain security: detect misuse, prevent unauthorized access, audit logs.
6. Improve the Apps: fix crashes, analyse usage patterns in aggregate, plan new features.
7. Comply with applicable laws and lawful requests from authorities.

We do not sell, rent, or trade personal information. We do not use personal data for advertising or for training third-party AI models.

5. Legal Basis for Processing

• Performance of an educational service between the School and the student/parent/staff member.
• Consent, where you (or a parent/guardian on behalf of a minor) have explicitly agreed (e.g., uploading a profile photo).
• Legal obligation, where applicable (record-keeping required by education authorities).
• Legitimate interests in maintaining the security and integrity of the Apps and our systems.

6. Sharing and Disclosure

• Within the School: with teachers, administrators, and parents/guardians on a need-to-know basis (e.g., a teacher viewing their class's attendance).
• Service providers we rely on, under contractual confidentiality obligations:
  • Google Firebase (Authentication, Cloud Messaging, Crashlytics) — for sign-in and notifications.
  • Hosting/infrastructure provider that runs our school management server.
• Legal authorities, when required by law, court order, or to protect the safety of users.
• In the event of a successor entity to the School (e.g., merger, restructuring) — only under the same protections as this Policy.

We do not share personal information with advertisers, data brokers, or social networks for marketing purposes.

7. Data Retention

We retain personal information for as long as the user is associated with the School, and thereafter as required by applicable education and tax laws. When data is no longer needed, it is deleted or anonymized. Backups are purged on a rolling schedule.

A parent/guardian or staff member may request earlier deletion subject to legal record-keeping obligations.

8. Security

We use industry-standard safeguards including encrypted transport (HTTPS/TLS), hashed password storage, role-based access control, server-side input validation, and regular security updates. No system is perfectly secure; if you believe your account has been compromised, contact us immediately at the address below.

9. Children's Privacy

The Apps are an educational service designed for use by enrolled students under the supervision of the School and the student's parent/guardian. Where a student is a minor:

• The account is created by the School at the request of the parent/guardian.
• The parent/guardian provides consent on the child's behalf.
• The parent/guardian may, at any time, ask the School to review, correct, or delete the child's personal data.

We do not knowingly collect personal information from children outside this school context.

10. Your Rights

Subject to applicable law (including the Digital Personal Data Protection Act, 2023, where applicable in India, and the GDPR where applicable), you have the right to:

• Access the personal information we hold about you.
• Request correction of inaccurate data.
• Request deletion of your data (subject to legal record-keeping requirements).
• Withdraw consent for optional processing.
• Object to or restrict certain processing.
• Lodge a complaint with the relevant data protection authority.

11. International Transfers

Our service providers (e.g., Google Firebase) may process data on servers located outside India. Where this occurs, we ensure appropriate safeguards are in place, consistent with applicable law.

12. Third-Party Services

The Apps integrate the following third-party services. Their privacy practices are governed by their own policies:

• Google Firebase — firebase.google.com/support/privacy
• Google Play Services — policies.google.com/privacy

We do not integrate advertising SDKs.

14. Changes to This Policy

We may update this Policy from time to time. Material changes will be communicated through the Apps or by email. The "Last Updated" date at the top reflects the most recent revision. Continued use of the Apps after changes become effective constitutes acceptance of the revised Policy.
